Exhibitors FAQ's

Do I need insurance?

Yes you do, all Exhibitors must take out public liability insurance against personal injury, death and damage to or loss of property for a limit of indemnity not less than £1,000,000 sterling (or its equivalent) All exhibitors must submit details of their insurance cover for approval.

Why do I need to complete a Risk Assessment?

A risk assessment is an important step in protecting your workers and your business, as well as complying with the law. The law does not expect you to eliminate all risk, but you are required to protect people as far as is ‘reasonably practicable’ It is simply a careful examination of what, in your work, could cause harm to people, so that you can weigh up whether you have taken enough precautions or should do more to prevent harm. Workers and others have a right to be protected from harm caused by a failure to take reasonable control measures. Please complete and return a Risk Assessment form, if you do not have your own, please submit our Risk Assessment template which was emailed to you when you booked your stand.

Do I have to submit a floorplan for my stand?

Space only stands must submit a stand plan for approval. Drawings showing proposed construction must be submitted and approved by the organisers before any work is started.

What is a shell scheme?

A shell scheme is an aluminium framing system into which white foamex panels slide in to complete the structure. The panels are not load-bearing, but display material can be attached using double sided hook and loop tape or something that does not damage the panels in anyway. You must not staple, screw or drill into the panels. Shell Scheme stands are 2.5m high and will display a company name board at open sides. Shell Scheme stands include: Quality Panels to divide you from your neighbours and give you a surface to affix any display material. Carpet and Company Nameboards on open sides. Please remember if you have a shell scheme on an island site, this will have no internal or external walling.

Does my stand have Carpet?

Only if you have booked a shell scheme stand, space only stands are not carpeted. Please note all space only stands must be laid with a suitable floor covering acceptable to the organisers. Does my stand include electricity?

Electricity is not included as part of any stand package. Orders for electricity can be placed with the official show contractor Dimension8. Please visit: www.dimension8.com you will need an electrical socket installed on your stand if your display has any of the following: Lights, TV Screen, Computer/Laptop etc.

Is furniture provided as part of my stand?

Furniture is not provided as part of any package, please contact the official furniture supplier Dimension8 if you would like to make an order. www.dimension8.com

How high can I build my stand?

Shell scheme exhibitors cannot build anything higher than their shall scheme walls (2.5 Metres) Space Only Stands may build up to 4 metres high, without the need for structural calculations and a structural engineer certificate.

How can I unload?

Once you have entered the show ground by displaying your vehicle pass clearly for the stewards, you will be directed to the exhibition halls. There are a number of service areas around the halls for exhibitors to use to unload.
 All vehicles MUST leave the service areas by 20:00 on Friday 18th August 2017.

Can I hire a fork lift on site?

Yes, this must be arranged prior to build up. You will need to contact Stoneleigh Park book in a fork lift. A Lifting charge will apply.

How can I get live animals to my stand?

Stands with live animals will receive a Live Animal Vehicle pass which allows access to the halls from 08.00 - 09.00 Saturday & Sunday for animal drop-off only. Is there any age restrictions for exhibitors and attendees? For insurance reasons, no person under the age of 16 may enter the show ground within build up and break down periods.

 

Can I distribute promotional items/literature at the show?

Yes, however you must distribute your literature and goods within your own stand space only.

Is security provided for my stand?

The Pet Show provides adequate security for the facility only, during build up, break down and show days. Please note you are responsible for insuring your own goods whilst they are on site at Stoneleigh Park. To help ensure good security at the show, please follow these points:

  • Delegate one member of your staff to be responsible for your company’s security at the exhibition.
  • Do not leave cash, handbags, valuables etc. in unlocked drawers, cupboards or on exhibits on your 
stand.
  • Laptops and mobile phones should not be left unattended at any time.
  • Please note build up and break down days are high risk periods. You are recommended to work in 
pairs so your stand is manned at all times.
  • Make sure you arrive prior to the official opening time and do not leave your stand at night before 
the halls are clear of visitors.
  • Should you have small valuables that you wish to leave on your stand, you are advised to arrange 
lockable steel cabinets or other secure storage units.

 

Are there any storage facilities?

Product storage will be available within the halls at a charge. Subject to availability. Please contact: carly@thepetshow.co.uk for more information.

What times can I re-stock?

Re stocking must take place Saturday evening between 18:00 – 19:00. There will be no vehicle access around the halls on Saturday or Sunday morning. Restocking during show opening hours is strictly limited to hand carried stock only.

When can I begin packing up and break down?

Exhibitors can begin packing up on Sunday 20th August at 17:15 once all visitors have left the halls. Under no circumstance may any exhibitor begin breaking down before this point.
